What We Collect and Why
When you apply through our website, we collect:
- Your name, business name, email address, and phone number
- Your answers about your business, budget, and timing
- Any messages you send us by email or phone
If you tell us how you heard about us, or reach one of our forms through a link that carries campaign tags (utm_source, utm_medium, utm_campaign), we save that information with your enquiry so we can see which channels bring people to us. We read it only from the address of the page you are on and do not store it on your device.
To limit abuse of the application form, we keep a one-way hashed (not readable) version of your connection address for up to 48 hours.
When you visit our website, our website analytics tool (Usermaven) also collects information about your visit, such as the pages you view, how you arrived at our site (for example from a search or an advertisement), your device and browser type, and your approximate location based on your IP address. Usermaven records a few events that carry no personal details: when you open the application, when an application is sent successfully, and when you tap our phone number (it records only where the link was and which page you were on, never the number). It does not record anything you type, and none of your application answers are sent to it. Usermaven does not use cookies on our website: it creates a one-way hashed identifier from your browser details and IP address, and it does not collect your name or email address. For visitors in the EU and UK it hides the last part of the IP address.
We also use Ahrefs Web Analytics to count visits. It uses no cookies and does not store your IP address; it records the page you view, how you arrived, your device and browser type, your language and screen size, and your approximate location (country and city), with a daily identifier that cannot link your visits across days.
We use this information to:
- Assess whether we are a good fit to work together
- Contact you about your application
- Respond to your questions
- Run our website securely
- Understand how our website is used
Consent
By applying through our website, you consent to our collecting, using, and disclosing your information as described in this policy. You can withdraw your consent at any time by emailing hello@imperiumultra.com, though this may limit our ability to respond to your application.
Our website analytics tool (Usermaven) runs in its cookie-free mode as soon as you visit, since it needs no consent. You can opt out using the options under Cookies and Similar Technology below.
Who We Share Your Information With
We share your information with service providers that host our website and deliver email on our behalf. These providers act for us under confidentiality obligations and only use your information to provide these services. We do not sell your information. We may disclose your information when required by law.
Visit information collected by Usermaven, our website analytics provider, is processed by Usermaven on our behalf, primarily within the European Union, under its privacy policy. It keeps this data only as long as needed under its own policies and the settings in our account.
How Long We Keep Your Information
Applicant information is kept for up to 2 years from our last contact with you, then deleted, unless you become a client, in which case your agreement governs it.
Your Rights
You have the right to:
- Access the personal information we hold about you
- Request a correction to that information
- Withdraw your consent to our use of it
- Opt out of analytics tracking (see Cookies and Similar Technology)

Cookies and Similar Technology
Our website analytics tool, Usermaven, runs in its cookie-free mode, so it does not store cookies in your browser and needs no consent. Apart from this tool, our website's code does not use cookies.
You can opt out:
- Block or delete cookies, or use a content blocker or your browser's privacy settings, to stop the analytics tool from running. The site will still load.
- Email us at hello@imperiumultra.com to ask us to stop collecting your visit information or to delete it.
Security
We take reasonable steps to protect your information, but no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
